MediaPOS is a software platform operated by Snapshot EG ("we", "us"). We provide the technology that allows partner hotels, attractions and photographers ("Partners") to share digital media with their guests ("Guests"). In most cases your primary relationship is with the Partner who hosted your visit.
2. What data we collect
Depending on how your Partner uses MediaPOS, we may process the following information:
- Basic guest details such as name, mobile number, email address and hotel/room.
- Information about your experience, such as trip date, photographer and product/package.
- Digital media files (photos and videos) associated with your invoice or booking.
- Technical information such as IP address, browser type and access timestamps.
- Notification preferences and delivery status for email, SMS or WhatsApp messages.
3. How we use your data
We use this information to:
- Create and secure your guest portal access link and PIN.
- Deliver your media files for download during the allowed time window.
- Send service messages (for example, your download link or PIN reminder).
- Help our Partners understand basic performance metrics (e.g. downloads per invoice).
- Maintain the security and reliability of the platform.
4. Legal basis
Our legal basis for processing this data is typically one or more of the following:
- Performance of a contract with you via the Partner (for example, delivering your purchase).
- Legitimate interests of the Partner in providing you with access to your media.
- Compliance with legal obligations (for example, accounting or security logs).
5. How long we keep data
Media files are usually kept online for a limited time determined by the Partner. After this period, files may be deleted or archived. Other records (such as invoices and access logs) may be stored for longer where required for legal, security or accounting reasons.
6. Sharing of data
We may share data with:
- The Partner that created your invoice, so they can support you as a guest.
- Service providers that host our infrastructure or send messages on our behalf (for example, email or messaging gateways).
- Authorities or third parties where required by law or to protect our rights.
We do not sell your personal data.
7. WhatsApp and other messaging channels
When a Partner uses MediaPOS to send you a WhatsApp message, your phone number and minimal invoice reference data may be processed by WhatsApp and any messaging providers we use (for example, Twilio). Messages are limited to service communications related to your visit and must comply with WhatsApp's Business Policy.
8. Cookies and analytics
The guest portal uses only the cookies necessary to maintain your session (for example, to remember that you have entered a valid PIN). We do not use invasive third‑party tracking on the guest download pages.
9. Your rights
Depending on your location, you may have rights to access, correct or request deletion of your personal data. In practice, the quickest way to exercise these rights is to contact the Partner that hosted your visit, as they will know which invoice and media relate to you.
10. Changes to this Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page shows when changes last took effect.
